The U.S. Environmental Protection Agency gives notice of its intent to solicit, negotiate and issue a Purchase Order for conference support and lodging in the Washington, D.C. metro area, under FAR Part 12, Acquisition of Commercial Items, in conjunction with FAR Part 13, Simplified Acquisition Procedures. The required facility must provide conference space for an estimated 100 attendees, light refreshments, and 60 single occupancy rooms per night, according to the estimated schedule/details outlined below.

Conference Space Schedule

All-day sessions from 8 a.m. to 5 p.m. on 12/8-12/10
Afternoon breakout sessions on 12/8-12/10
Morning (10 a.m. to 12 p.m.) and afternoon (2-5 p.m.) refreshments on 12/8-12/9
Morning (10 a.m. to 12 p.m.) refreshments on 12/10
Meals for 75 guests on 12/7-12/10
Conference Space and Seating for attendees (up to 100 people)
1 Podium with handheld microphone (3 days)
1 Wireless Microphone (3 days)
2 LCD Projectors, Tables and Screens (3 days)
Support equipment for LCD projector (3 days)
2 Flip charts and markers (3 days)
Laser Pointer (3 days)
Associated set-up labor fees

Responses to this notice must be submitted via email no later than July 24, 2009 at 2:00PM EDT to the Contract Specialist, Trina Fisher at fisher.trina@epa.gov.
Please include your company's name, point of contact, address, area code and telephone number, e-mail address, facsimile number, and firm fixed price quote. Indicate whether you are a small business, large business, 8(a), woman owned, minority owned, and/or veteran owned business. The resulting award will be based on availability, location, potential site visit, and cost. The government will also evaluate the offeror's ability to provide a green facility. Telephone quotes will not be accepted. All offerors must have a valid DUNs number and fill out the Green Facility Checklist attached below. Contractors must be registered in CCR (Central Contractors Registration), in accordance with FAR 4.11, to be considered for award.
