The U.S. Environmental Protection Agency gives notice of its intent to solicit, negotiate and issue a Purchase Order for conference support and lodging in the downtown Baltimore, MD area, under FAR Part 12, Acquisition of Commercial Items, in conjunction with FAR Part 13, Simplified Acquisition Procedures. The required facility must provide conference space for an estimated 25 attendees, light refreshments, and 25 single occupancy rooms per night, according to the estimated schedule/details outlined below.
Lodging Requirements (50):
- 9/14/10: 25 rooms
- 9/15/10: 25 rooms
Conference Space Schedule:
- Afternoon session from 1:00 PM to 5:00 PM on 9/14/10
- All-day session from 8:00 AM to 5:00 PM on 9/15/10
- All-day session from 8:00 AM to 5:00 PM on 9/16/10
- Afternoon refreshments on 9/14/10
- Morning and afternoon refreshments on 9/15/10
- Morning and afternoon refreshments on 9/16/10
- Lunch and Dinner for 25 on 9/14/10 and 9/15/10
- Breakfast for 25 on 9/15/10 and 9/16/10
- Lunch for 25 on 9/16/10
- Conference Space and Seating for attendees (up to 25 people)
- 1 projector (per day)
- 1 screen (per day)
- 1 flip chart w/ markers (per day)
- Wireless internet in conference room (per day)
- Necessary cords and cables (per day)
- 1 DVD/VCR (per day)
- 1 podium w/ microphone (per day)
- Associated set-up labor fees
Responses to this notice must be submitted via email no later than September 6, 2010 at 2:00 pm EST to the Contract Specialist Trina Fisher at fisher.trina@epa.gov. No telephone inquiries will be accepted. Please include your company's name, point of contact, address, area code, telephone number, e-mail address, facsimile number, and firm fixed price quote. Indicate whether you are a small business, large business, 8(a), woman owned, minority owned, and/or veteran owned business. The resulting award will be based on availability, location, and cost. The government will also evaluate the offeror's ability to provide a green facility. Telephone quotes will not be accepted. All offerors must have a valid DUNs number and fill out the Green Facility Checklist attached below. Contractors must be registered in CCR (Central Contractors Registration), in accordance with FAR 4.11, to be considered for award.
