NARA Disposal Authority:
This schedule authorizes the disposition of the record copy in any media (media neutral), excluding any records already in electronic form. Records designated for permanent retention must be transferred to the National Archives in accordance with NARA standards at the time of transfer.
- General Records Schedule 20/4
Records that contain summarized or aggregated information created by combining data elements or individual observations from a single master file or database that is disposable under a General Records Schedule item or is authorized for deletion by a disposition job approved by NARA after January 1, 1988.
Excludes: Data files that are created as disclosure-free files to allow public access to the data which may not be destroyed before securing NARA approval.

Delete when it is determined that they are no longer needed for administrative, legal, audit, or other operational purposes.
May be used for mainframe, LAN, or PC-based systems. This item can be used to dispose of ad hoc summary reports and other summary files created for analytical purposes or to produce reports.
Data files consisting of summarized information created from a master file or database that is unscheduled or that was scheduled as permanent but no longer exists or can no longer be accessed may not be destroyed before securing NARA approval.
Specific schedules have been developed for many Agency systems. Check to see if your system is included in the guidance section of these schedules. In other cases, systems are included as part of general system schedules (e.g., EPA 063 - Electronic Models and Expert Systems).
