NARA Disposal Authority:
This schedule authorizes the disposition of the record copy in any media (media neutral), excluding any records already in electronic form. Records designated for permanent retention must be transferred to the National Archives in accordance with NARA standards at the time of transfer.

Description:
Electronic copy consisting of data identical in logical format to a master copy of an electronic record or file and retained in case the master copy or data base is damaged or inadvertently erased.
Excludes: System backups scheduled as EPA 161.
Disposition Instructions:
Item a: Files identical to records scheduled for transfer to the National Archives

Delete when the identical records have been captured in a subsequent backup file or when the identical records have been transferred to the National Archives.
Item b: Files identical to records authorized for disposal in a NARA-approved records schedule

Delete when the identical records have been deleted, or when replaced by a subsequent backup file.
Guidance:
May be used for mainframe, LAN, or PC-based systems. Security backups must be made for records which are scheduled as permanent and are to be transferred to the National Archives. Until the information is taken off line for transfer, the system backup may serve as the security backup. System Backups are scheduled as EPA 161.
This item applies only to electronic backup copies which are identical in format to existing master copies and data bases and retained in case the master copy is damaged or inadvertently erased. Electronic copies consisting of data copied from master copies and data bases and written with varying technical specifications are scheduled as EPA 176 - Technical Reformat Files.
